# Quick Start Guide

# Create an Account

So you're ready for the VIP treatment? Great, let's jump into creating your TestFiesta account.

There are two ways to create an account with TestFiesta. Creating an account by yourself, or joining by Invitation. This page will go over both methods.

## Create an Account Yourself

Visit the [TestFiesta homepage](https://www.testfiesta.com/) and click the "Sign Up" button in the top right corner.

* **Name:** Enter your first and last name as it will appear in your profile.
* **Email:**

  * Provide a valid email address that will be used as the login for your account

  OR

  * Signup using OAuth through your Google account

Ensure you read and agree to the Terms of Service and Privacy Policy.

Once all fields are filled out correctly, click the "Sign Up" button.

You will receive an email to verify your account. Check your inbox (and spam folder) for a verification link.

Create a strong password that meets the required criteria (minimum 8 characters, including a mix of letters, numbers, and symbols).

## Join by Invitation

When getting an invitation to TestFiesta by an Organization, you'll receive an email with a sign up link (make sure to check your spam folder). Click that link and it will bring you to TestFiesta to complete your registration.

The inviting organization will have filled out some information for you, such as your first name and last name. You will need to enter your email and create password that meets the required criteria (minimum 8 characters, including a mix of letters, numbers, and symbols).

You have your account! Now you can explore TestFiesta's many features.

Whenever you come back to TestFiesta you can easily Log in with your email and password, which we will show you on the next page.


# Logging In

You can log into TestFiesta at anytime by entering your account email and password into the log in screen. Alternatively, you can log in using Google or Single Sign-On options.

# Reset Password

Forgot your password? No problem, this page will cover how to reset your password in a five easy steps.

Check your email (and spam folder) for the recovery instructions and link. If you did not get an email, you can press the "Resend it" button to send another recovery link.

After following the link in the recovery email, you may now change your password. Once you have chosen a new password, click the "create new password" button.

Now that you have a new password, go back to the log in screen and enter your email and new password.

You now have access to your account once again.

Now that you can create your account and recover it, you will be able to explore all of TestFiesta's many tabs. on the upcoming page, we will give you an overview of each tab and links to learn more. Click "Next."


# Tab Overview

You have created your account and now you can begin exploring TestFiesta! There is much to do, but first we will start with an overview of the main tabs at the top of TestFiesta pages.

## Projects Tab

The Projects tab is where you will create new projects, add other users, and plan your QA schedule. Within each project there are several sub-tabs including:

Using this tab you can generate reports from one or more projects within different timeframes to share with others. This tab only has two sub-tabs:

# Organizing Tests

Keeping your tests organized is super important, especially when you’re juggling hundreds or even thousands of them. TestFiesta has got you covered with some handy features to keep everything in check

### Organizing test cases

Arrange your test cases into Test Folders , allowing for easy access and management.

Think of these as your personal file organizer but for tests. You can set up folders and sub-folders in a tree-like structure, similar to how you would organize files on your computer. Create as many Test Folders as you need, and don't worry about putting a test in just one place—tests can be in multiple folders. This setup makes it a breeze to manage your tests and pull them up quickly when you need them for Test Runs. Structure your test execution process by grouping related tests into Projects and Milestones. Use Test Runs to execute specific test cases and Test Plans to coordinate and configure multiple Test Runs, ensuring a smooth and organized testing workflow.

# Manage Testing Process

To effectively manage your testing process, follow these steps to create your tests.

Begin by setting up a new Project. A Project helps you organize and track different testing initiatives or phases. Simply navigate to the Projects section and choose the option to create a new project. Within your Test Cases Tab, create a Test Folder to store and organize your test cases. Test Folders allow you to group related test cases into a tree-like structure with folders and sub-folders. Next, add individual Test Cases to your Test Folder. A Test Case defines a specific scenario to be tested and includes the steps to execute it, the expected outcomes, and any necessary details. Once your Test Cases are in place, you can create a Test Run to execute them. A Test Run is a collection of Test Cases that are executed together. To create a Test Run, go to the Test Runs section, choose to add a new run, and select the Test Cases you want to include. # Invite Team Members

If you’re looking to bring new users into your project, inviting them is a straightforward process. Follow these steps to ensure a smooth onboarding experience:

# Getting Started

## Onboarding steps

* **For TestRail Users:** Unlike TestRail’s immediate project setup, TestFiesta’s private workspace lets you test the platform before committing to team workflows.
* **Tip:** Explore the private workspace to try creating a test case or viewing the dashboard before moving to team setup.

* **Action:** Upgrade to an organization workspace ($10 per user/month) to enable team collaboration. From your personal account, go to Admin > Organizations, click “Create Organization,” and follow the prompts to set it up.
* **Details:** An organization unlocks user invitations, role assignments (e.g., Tester, Admin, Owner), and integrations (e.g., Jira, TestRail). Invite team members via Admin > Users by entering their emails and assigning roles/tags (e.g., “QA Team”). You can join multiple organizations and switch between them via the dashboard. A 14-day free trial lets you invite unlimited users to test collaborative features.
* **For TestRail Users:** This mirrors TestRail’s user management but adds tags for user filtering and project-level roles for granular control, unlike TestRail’s rigid permissions.

  2. In TestFiesta, navigate to Admin > Import and upload the exported file.
  3. Map fields (e.g., title, steps, expected results) as prompted to align TestRail’s structure with TestFiesta’s test case repository.
  4. Review imported cases in a new or demo project to ensure accuracy.
* **When to Use:** Best for small shops or teams starting fresh, where history isn’t critical. It’s the simplest way to get testing in TestFiesta within minutes.
* **Limitations:** Excludes test runs, results, and history. Manual field mapping may be needed for custom fields.

* **Overview:** Designed for small to medium teams, this method uses TestFiesta’s TestRail API integration to pull all TestRail data—test cases, runs, plans, milestones, attachments, custom fields, and history—in a single, automated process. It also supports bidirectional sync for evaluating TestFiesta while continuing TestRail operations.
* **How It Works:**
  1. In TestFiesta, go to Admin > Integrations > TestRail.
  2. Enter your TestRail API credentials (found in TestRail’s user settings; see [TestRail API docs](https://support.testrail.com/hc/en-us/articles/7076948376724-API-reference)).
  3. Initiate the import to pull all data into a TestFiesta project. The process completes in minutes, mapping TestRail’s structure (e.g., sections to folders, suites to repositories) to TestFiesta’s.
  4. Enable sync to keep TestFiesta and TestRail in lockstep—changes in one platform reflect in the other.
  5. Review data in TestFiesta’s project or staging environment. Use dashboards to verify completeness.
* **When to Use:** Perfect for teams wanting a full migration with history or those testing TestFiesta alongside TestRail. The sync feature supports gradual adoption without disrupting workflows.
* **Benefits:** Comprehensive data transfer, real-time sync, and minimal setup. Preserves folder structures, custom fields, and attachments.
* **Limitations:** Requires TestRail Cloud access and API credentials. Sync should be disabled post-migration to avoid conflicts.

* **How It Works:**

# Editing User Roles & Tags

Collaborate effectively with your team by assigning tasks based on assigned user Roles and Tags. This page will show you how to edit Roles and Tags in five easy steps.

# Project Filters

Personalize your Project List view using table & column filters. You can also filter individual Projects for specific information.

# Editing Projects

Editing your Projects allows you to view all users within your Organization and filter them based on Role and Tags. You can then add them to any Project. This page will show you how.

## Edit menu options

On each Project, clicking on the kebab icon will show you 3 options:

# Editing, Deleting, & Archiving Projects

This page will explain the various ways you can interact with a Project such as editing, deleting or Archiving.

Deleting a Project will remove it from Active and Archived views on the Project Lists page. All data associated with a deleted Project will be removed & a deleted Project can only be recovered by an Administrator via the [Audit Log](/account-settings/organization-owner-workspace/audit-log).

# Removing Users

If you ever need to remove a User from your Project, you can use the edit function similar to how you added Users. This page will show you how in four simple steps.

# Saving Changes

You have made all your desired edits. Now it is time to save them, or, if you changed your mind, you may back out and discard all changes you made. This page will show you how.

# Project Dashboard

The dashboard tab in the projects section lets you review test runs, test cases, defects, and milestones in multiple charts for a project. You can customize the information displayed in various ways.

## Getting to the Dashboard of a Project

# Dashboard Components

The Dashboard section of your Project is made up of various components to deliver information to your team. Let's review them together.

## Dashboard Components:

* Tag search
* Milestone Filter
* Test Plan Filter
* Generate a report

# Dashboard Filters

The time filter lets you set the time period for which charts display information in the Dashboard.

The default time filter has 4 options:

* Last 7 days
* Last 14 days
* Last Month
* Custom

Charts & graphs will reflect information within the time period selected, or by which Milestone is chosen.

# Charts

Charts display information on a project in various forms to help your team understand what is happening more visually.

## Charts

You can add charts via the [Chart Library](/projects-tab/project-dashboard/dashboard-components/charts/charts-library), as well as customize & filter various aspects of what will be shown on them.\

The different charts include Single Value, [Donut](/projects-tab/project-dashboard/dashboard-components/charts/donut-charts), [Line](/projects-tab/project-dashboard/dashboard-components/charts/line-charts) & [Bar charts](/projects-tab/project-dashboard/dashboard-components/charts/bar-charts) and have pages dedicated to each one including its options & filters.

## Viewing Data On Charts

You can view data on certain charts by moving your mouse over various data points. Below is an example with a Line chart.

# Charts Library

This page will show you how to access and use the Charts Library

The Chart Library houses the different charts you can include in your Project Dashboard. You can view the description of each chart by hovering over the "?" icon with your mouse and adding charts to your dashboard.

## Accessing the Chart Library

On the Dashboard for a project, click the "Customize" button to open the Chart Library.

The Chart Library houses the various charts to include in your Dashboard. Below are examples of the different charts.

## Adding a chart to your Dashboard

To include a chart in the Dashboard of your project, click on the "Add" button next to the chart you wish to add. Confirm your selection by clicking "Add" or to go back click "Cancel"

## Adjusting Chart Data Colors

You can select "Change data colors" in the Chart Library to sort and customize the different colors used to outline information. Refer to the [Data Colors](/account-settings/organization-owner-workspace/data-colors) section of the documentation for more info.

# Duplicating, Expanding & Deleting Charts

Duplicating and deleting charts are universal actions across different charts. Below is a summary of how to perform each action.

Next, click on the "Expand" button to stretch the chart out to the full width available. Note that you cannot expand donut charts.

# Single Value Charts

A Single Value chart reflects various datapoints of your Project in a numerical value based on the time period or Milestone selected in your Project Dashboard.

### The Single Value options are:

* Test Plans

* Test Cases
* Defects
* Milestones

Data on a Donut chart can be split into sections of data from the following categories:

# Line Charts

This page will give you an overview of Line Charts

### Line charts come in three different varieties:

* Progress
* Rerun with a number of defects
* Average time in status

You can edit each type of Line chart based on Test Cases, Test Runs, Defects, and Milestones. You can also adjust the view and filter different options in each Line chart. The following pages will outline each Line chart and their specific edit options.

Progress Line charts show how far along Project data is moving within a certain time frame.

This type of chart tracks the progress of Milestones across a given time period.

Milestone charts track the progress of Milestones across a given time period. Milestone charts are displayed with a horizontal view that sets it apart from a Bar-style chart and the Milestones available are set by your users.

# Milestones Tab

Milestones are a way to track the progress of your testing towards a specific due date, patch/release, or requirements set by your team.

Milestones allow Organizations to sort Test Runs & Test Plans in a way that makes it easier to see completion progress in relation to a specific deadline or requirement. When this happens it will notify other users of its status so everyone is on the same page.

# Columns In the Milestones Tab

The Milestone homepage displays a Table View with multiple information columns. This page will tell you about each column and show you how to remove them to fit your preferences.

## Column Information

The columns in the Table View of the Milestone tab are as follows:

* Status
* Test Runs

* Start Date
* Due Date
* Progress
* Test Plans
* Test Runs

## Changing which column information is displayed

# Open Vs Closed Milestones

This page explains the differences between the two categories of milestones: Open and Closed.

## Open Milestones

Open milestones can have a status applied to them and can be selected in places like Dashboards and Reports for their respective purposes.

## Closed Milestones

Closed Milestones cannot be selected for Dashboards or Reports, and have a "Closed" status applied to them by default. This status indicates that a Milestone has been reached based on certain criteria, or was closed for other reasons. It is still available to view in the Closed tab or calendars.

You can close and re-open a Milestone at any time. Click "Next" to see how.


# Closing & Opening Milestones

Need to change the status of your Milestones? This page will show you how to close and re-open Milestones.

## Closing Milestones

## Opening Milestones

# Creating Milestones

Milestones are how you can track progress and help schedule your testing based on upcoming Milestone deadlines. This page will show you how to create a Milestone.

# Removing Test Plans From Milestones

You can remove Test Plans from Milestones with a couple easy steps:

# Deleting Milestones

If you do not need a Milestone and do not want to preserve the data, you can delete the Milestone by following these steps:

Rather than deleting a Milestone and losing all data associated with it, you have the choice of closing it which will remove it from your open tab and preserve its data.\
\
Once completed, a confirmation toaster will appear on the bottom right allowing you to undo the action if need be.

Deleting a milestone deletes all of its data, you can close it instead to preserve it. Note that a deleted milestone can only be recovered by an administrator via the audit log.

# Filtering Milestones

Find the Milestone you need quickly by using TestFiesta's filter options. This page will show you how:

# Editing Milestones

You can edit a Milestone's name and description, current status, & due date. You can also select multiple test runs built into milestones to change their status or remove them.

## Leaving The Editing Page

# Test Plans Tab

Test plans are where you will begin planning your overall testing goals. Functionality, Integration, and user experience are examples of Test Plans you might create and aim to complete.

Test plans are separated into two tabs: Active and Archived. Click "Next" to learn the difference between the tabs.

## Active Test Plans

Test Plans in this tab still have ongoing testing to do and can be edited, archived, deleted, and added to another milestone.

## Archived Test Plans

Once a Test Plan has reached the end of testing, or you no longer have a need for it, you can archive it to save all relevant data recorded. You cannot edit archived Test Plans or add them to milestones until they are Unarchived.

# Table View and Changing Columns

Test plans are set up in Table view with a list of customizable columns that users can change based on their preferences and needs.

## Columns

By default, the columns for Test Plans include the Name, Configurations, Priority, Status, Test runs, Creation date, Tags, and Progress. Each column can be added or removed as required.

# Creating Test Plans

Let's create our first test plan. This page will show you how.

If you have no test plans, one of these buttons will be in the center of the screen and another is at the top right of the page.

The name will often reflect the goal of the Test Plan, with some examples being "Stress Testing Plan" or "Risk Mitigation Plan"

The only required field to create a Test Plan is the name, but you may also fill in a description, pick a Milestone, and attach a tag.

Add a Test Run by clicking the "Actions" button and choosing "Add test runs" from the list.

This will take you to a list with all available Tests Runs. If there are no Test Runs, the page will prompt you to create a new one. To see how to create a Test Run click [here](/projects-tab/test-runs-tab/creating-test-runs)

Select one or more Test Run in the list by click on the checkboxes beside the Test Run names. this will add the Test Runs to your Test Plan when you click "Create test plan"

Once you have finished filling in all the fields you want, and adding any Test Runs, you can click "Create test plan."

You may have chosen not to add a Test Run or fill in a field when creating your Test Plan. No worries, you can always edit your active Test Plan at anytime. Click "Next" to see how.

Need to add another Test Run, or change the description? Use the Edit feature to make changes to your Test Plan.

When you have completed testing for a Test Plan or no longer need it, you can choose to Archive the plan instead of deleting it to preserve all data collected from it.

# Active & Archived Tabs

This page will explain the difference between Active Test Runs and Archived Test Runs.

## Active Test Runs

Active Test Runs can be edited, have Test Cases added & executed, etc. Every Test Run you want to interact with should be Active.

## Archived Test Runs

An Archived Test Run is one you no longer want to use but you don't want to delete because you want to keep the data associated with it.

Test Runs are displayed in Table View and in multiple columns. The next page will explain both Table View and show you how to change columns. Click "Next"

This page will explain how Test Run information is summarized in a Table View and multiple Columns.

## Understanding Table View, and column information

Test Runs are displayed in a "Table View". Within that table, there are various "columns" of information that can be added, removed, and edited for each test run. Test cases within test runs also have this functionality.

# Adding Test Cases vs. Duplicating Test Runs

This page is a primer for explaining the differences between adding Test Cases and duplicating Test Runs.

When creating a Test Run, you have the option of adding Test Cases individually or you can duplicate an existing Test Run to execute pre-selected Test Cases to a newly created Test Run.

Let's begin with adding Test Cases. Click "Next"


# Adding Test Cases

This page explains how you can add Test Cases to your Test Runs.

When creating a new Test Run, adding individual Test Cases lets you tailor specific assessments for a Test Run. This allows for more granular control of your Test Runs to output the desired results or information.

# Duplicating Test Run

Duplicating Test Runs lets you implement existing assessments for new Test Runs. This allows you to cover ground quickly without creating the same Test Cases for new Test Runs.

# Archiving, Unarchiving, and Deleting Test Runs

This section will show you how to Archive, Unarchive, and Delete Test Runs.

First, lets have a look at Archiving Test Runs. Click "Next"


# Archiving Test Runs

Once you no longer need a Test Run active, you can Archive it by following these steps:

# Unarchiving Test Runs

Unarchiving a Test Run is as simple as Archiving. This page will show you how in two steps.

# Deleting Test Runs

You can delete a Test Run from the Archived tab at any time. This page will show you how to do so.

## Notes about deleting Test Runs

Archiving a Test Run will move it into the Archived tab, you will not be able to interact with it until it is returned to Ongoing status. It still retains all of its data.

If any of your planned Test Cases fail, you can generate a Defect. This page will show you how:

## When creating a new Defect you can add Integrations for the appropriate Test Case Defect.

This page will show you how to do a Rerun of a Test Run. Follow the steps below:

# Rerun History Of A Test Run

Reruns allow you to view their history of Test Case statuses. Below will show you the steps to view the history.

You can now view your Rerun history. On the upcoming page, we will go over how to navigate through all Test Cases in a Test Run. Click "Next"


# Navigating Through All Test Cases In A Test Run

You can filter and find exact Test Cases within your Test Runs by filtering through a sidebar. This page will show you how.

Select filter criteria from which Test Cases will be organized in your Table View. Click "Apply" to finish, or "Clear all to deselect your choices.

# Viewing individual Test Cases In Test Runs

View Test Case details within a Test Run in only a couple steps:

# Understanding Test Case Detail Options Within A Test Run

When looking at the details of a test case within a test run, you have many options you can view or change, below is a summary of each:

Consists of two drop-down menus for status and priority, as well as fields for the creator, ID of the test case, The last update, folder location, any tags, defects, and the user assignment for the test case. Below are the options for the drop-down menus:

Status: Drop-down options include:

* Active (Blue)
* Incomplete (Yellow)
* Passed (Green)
* Failed (Red)

Priority: Drop-down menus include:

* Low (Green)
* Medium (Yellow)
* High (Red)

# Adding Test Runs To Milestones & Test Plans

You can add test runs to both Milestones and Test plans, the following page will detail how to accomplish this.

## Adding a Test Run to a Milestone
